Quick Start Guide

    • After you download the file FJProSetup.exe, run it. It will display a few installation screens which you only need to accept and click Next.
      • FinJinni will be installed and an icon placed on your desktop. The installation program will then launch FinJinni, which will first display a trial notification window. Click Continue on that screen.

    • When FinJinni first starts, it will check to see if Microsoft SQL Server is installed. If not, it will give you the option of installing SQL Server 2019 automatically.(This is a free (aka Express) version provided by Microsoft.)
      • All of the installation is automatic and you only need to accept each screen and click the Next or Continue button.
      • The only choice you need to make is whether the database will be used only on your user account or whether you will be sharing it with other users on your network.
      • Refer to the FinJinni Pro Administration Guide for more information or contact GypsyBI support if you need to set up sharing.

    • Once the install is complete, FinJinni will ask you about your QuickBooks company – You will need to specify whether you are using QuickBooks Desktop or Online.
      • For the Desktop versions, please open your company file as the administrator this first time so that QuickBooks can authorize FinJinni to access the company.
      • For QuickBooks Online, you will be given a screen to log in to your QuickBooks company and authorize FinJinni

*Notice: FinJinni uses a Microsoft Edge component to login to your Intuit account. This is included on most current Windows installations for Windows 10 or 11. Certain older system do not have this component. On these systems, FinJinni will prompt you to install it and start the installation automatically. If you have any difficulties, please contact Gypsy BI support for assistance.

    • FinJinni will proceed to retrieve your company file data in two steps, first extracting basic company and account information.
      • It will then prompt you whether to run the full retrieve. Under most circumstances, you should do that now.
      • If you have special requirements for reporting options, you might need to set those first (see the list * below). In that case, answer No to the full retrieve, set those options, and then press the Refresh button on the main screen.

    • The first time FinJinni extracts data from QuickBooks, it will extract all years of historical data. (This can take some time depending on the size of your QuickBooks file. Please be patient.) You can speed up this first load by opening your QuickBooks file in single-user mode.
      • When the FinJinni progress display shows “Waiting for QuickBooks”, that means that QuickBooks is collecting data to be returned to FinJinni. Most of the time is spent in this state.
      • After the initial extract, data is refreshed incrementally, which only takes a short amount of time.
      • Refer for the FinJinni Pro Administration Guide for complete information. To bring up this document, click on the FinJinni logo on the application screen. Then click the “Browse Documentation” button.

  • Once your data is extracted from QuickBooks, FinJinni’s reporting will be available from Excel. There will be a FinJinni menu choice on the Excel main menu.
    • You can then click the Help button on FinJinni’s ribbon bar to bring up the FinJinni Pro Queries Manual, which describes how to run reports in Excel. If you don’t see the Menu choice, see the note ** below.

*Note: If you need to change reporting options before running the extract, select No when prompted to run the full load and press the Setup button on the application screen (on the upper right). The options that you need to specify before extracting are:

  • Cash-basis reporting for an accrual-basis company
  • Job costing and time reporting
  • Multi-currency (if different from what is set in QuickBooks)
  • Advanced inventory
  • Custom fiscal years (if different from what QuickBooks supports)
  • How QuickBooks budgets are set up
  • Whether to load Employee Payroll (Salary) Data

**Note: Excel should not be running when you install FinJinni. If it is, you will not see FinJinni’s menu choice. In that case, close Excel and look in the Windows Start menu for the GypsyBI folder. There will be a “Setup Excel Add-In” choice in this folder. Click it, then restart Excel.
